Component or virtual rooms

Expand your revenue potential and capture new market segments with the CRS's support for component or virtual room setups. These allow hoteliers to combine two or more room types (up to nine) into a single accommodation, such as suites or family rooms, creating premium offerings that command higher rates and appeal to guests seeking specific room configurations.

Virtual rooms enable you to target diverse guest segments including families requiring connected rooms, business travelers needing meeting space or luxury guests seeking suite-style accommodations.

⚠️Important: To seamlessly use this feature, your PMS must support component room functionality. If your PMS does not support it, the CRS can still accommodate component rooms, but additional business practices and/or alerts may be needed to maintain accurate inventory. Please review your PMS specifications for compatibility and further details.

  • Virtual room inventory management

    • Inventory of a virtual room will not be included in the inventory counts seen in "Base Inventory – ALL"

    • Virtual Rooms will be given inventory counts from the PMS, just as any other room and the CRS will rely on these updates to ensure the virtual room is actually available when presented to a guest to book.

  • Inventory reduction logic

    • When a virtual room is sold, the inventory of the virtual room, as well as the inventory of the room types that make up the virtual room (components) will be reduced.

    • If the component rooms sell out or are reduced to inventory counts lower than what has been set for the virtual room, the virtual room will be reduced as well.

  • Sell limit considerations

    • Virtual Rooms will not be included in sell limits applied to ALL ROOMS

  • Set virtual room rates

    • Develop pricing that captures the premium value of room combinations:

      • RMS or RMS integration: Ensure these systems send rates for the Virtual room type based on demand patterns.

      • Manual pricing: Alternatively, rates can be updated directly in the CRS with strategic pricing that considers market positioning.

  • Additional virtual room considerations

    • Virtual rooms will be treated like any other room type with regards to taxes, fees, multimedia add-ons, and any other feature that can be assigned to a room type.

  • Channel distribution

    • Virtual rooms may be distributed to any channel if proper channel control and mapping are enabled for the virtual room.

  • Configuration limitations

    A virtual room cannot be a component of another virtual room.

πŸ€“Tip: Test virtual room availability and booking flow on each intended distribution channel before going live. Focus on channels that effectively reach your target guest segments willing to pay premium rates.


Configure a virtual room type

Follow the steps below to create a virtual room.

  1. Go to Property Description.

  2. Go to Room Type.

  3. Go to the Modify Tab.

  4. Select the room type from the drop down.

  5. Check the box for virtual room and this will open up additional fields below.

  6. Choose the number of room types that will be combined to create the virtual room by selecting the number from the No of Room Component dropdown menu - up to nine rooms.

  7. In component one select the room type from the drop down that makes up the virtual room

    • Repeat for additional component fields until all are entered that make up the virtual room.

  8. Click to Save.
