Manage inventory for your selling strategy
The CRS provides multiple inventory management options to support your property's selling strategy. Most properties integrate with a PMS that automatically populates and updates the main inventory in real-time. Properties without PMS integration may need to manually manage inventory while accounting for reservations made outside the CRS to ensure accurate availability.
Base inventory management
Base inventory management controls the fundamental room counts that drive availability calculations. This data typically integrates automatically from your PMS to ensure both systems maintain matching inventory levels.
Inventory data display
Your inventory is summarized on the all rooms lines with each individual room type detailed below.
The system displays key metrics for each date:
Available – Total rooms left to sell for that date, summary of the individual rooms plus oversell counts.
Oversell – Additional rooms beyond base inventory, if configured.
Blocked – Rooms blocked for groups.
Reserved – Rooms already sold or booked.
Base – Total physical inventory for the room type.
There is a property level setting to have the PMS update available rooms on the base inventory line if needed for your operation. This does not affect the way inventory or availability is calculated.
PMS integration considerations
Listed below are PMS integration considerations:
When a PMS is connected: It is not recommended to update these base or available inventory directly in the CRS, as changes will likely be overridden after the next PMS sync. Please consult your PMS playbook for guidance on updating specific inventory fields through the proper system.
Update base or oversell inventory in the CRS
Follow the steps below to update base or oversell inventory in the CRS.
Go to Inventory Management.
Go to Base Inventory.
Click Update.
Select the update inventory type from the dropdown:
Base
May be entered per room type only.
Oversell, if used.
May be entered per room type and all rooms.
Select the From date and To date for the time period of the change.
Enter the inventory to assign to each day of week and room type within the date range.
Click Save.
Allotment management
Allotments hold specific inventory for specific rate codes and room types by removing rooms from general availability. This protects inventory for special offers or events that might otherwise sell out quickly.
Key allotment characteristics:
Applied to specific dates, rates, and room types and holds rooms out of inventory.
Once allotment inventory sells out, rooms continue selling through general availability if available.
Applied to all direct channels automatically booking engine, voice and APIs.
Enter allotments in the CRS
Follow the steps below to enter allotments in the CRS.
Go to Inventory Management.
Go to Allotment.
Click Update and the modal will open.
Select the from date and to date for the time period to enter the allotment.
Select the rate category from the drop down to filter the rate codes.
Select the rate code from the drop down.
Enter the allotment for each room type to hold inventory for.
Click Save.
Sell limit controls
Sell limits control the number of bookings for specific rate codes or rate code groups without removing inventory from general availability. Once the limit is reached, the rate stops selling even if general inventory remains available.
Key sell limit characteristics:
Applied to specific rate codes and date ranges.
Do not reduce general inventory availability.
Can be set at room type level or property all rooms level.
Total bookings cannot exceed the all rooms sell limit.
⚠️Important: Consult integration details to understand how sell limits can affect different distribution channels such as OTAs or other extranet channels.
Enter a sell limit in the CRS
Follow the steps below to enter a sell limit in the CRS.
Go to Inventory Management.
Go to Sell Limit.
Click Update.
Select type:
Rate code group, if enabled.
Select the rate code group from the drop down.
Rate code.
Select the rate category from the drop down to filter the rate codes.
Select the rate code from the drop down.
Enter the sell limit for each room type and or all rooms.
Click Save.
Auto rollover
Auto rollover benefits properties without PMS integration or those not sending automated rolling inventory updates to the CRS. This feature ensures inventory becomes available as the booking window advances, reducing manual inventory management tasks.
Implementation considerations

Configure appropriate stay restrictions aligned with your selling strategy.
Protect high-demand dates that may fill quickly.
Monitor performance to ensure optimal availability patterns.
Enter inventory auto rollover setup
Follow the steps below to enter inventory auto rollover setup.
Go to Inventory Management.
Go to Auto Rollover.
Enter the inventory amounts for each room type and day of week.
Click Save.
Chain level inventory management
Properties within larger groups can access chain-level inventory views through chain manager for centralized monitoring and management across multiple properties.
This functionality provides group-level visibility while maintaining individual property control over local inventory decisions and strategies.
