Room type configuration
Build detailed room types in your CRS with clear descriptions, high-quality images, and amenity lists to compel guests to book. Room type settings are supported across multiple channels, enabling online bookers and reservation agents to filter and search for specific results.
⚠️Important: Your rate configuration screen may not show all options described in this article, as features vary by channel integration, enabled features and system setup decisions at onboarding. Contact the support team to explore additional system capabilities.
Creating a room type
Follow the steps below to create and configure room types with descriptions, images, and amenities to showcase your accommodations.
Go to Property Description.
Go to Room Type.
Click on the Create New tab.
Enter the Room Type code that will be used to communicate to connected systems.
Select the most appropriate room Category from the drop down.
Select the most appropriate room Classification from the drop down.
Select the number of bedrooms within the room type from the drop-down menu.
Select the Bed Type from the drop-down menu.
Select the number of beds in the room from the drop-down menu.
Select the appropriate Room View option if the room has a view.
Enter the Room Type Name.
HTML formatting is not allowed in product name fields.
Enter the Room Short Name.
Within 32 characters to be used for channels with limitations such as some GDSs.
Enter the default Room Type Description.
This description will be used unless there is a channel-specific description entered in the configuration.
HTML Allowed in the description field:
Line Breaks: <br>
Strong (bold type): <strong></strong> AND <b></b>
Italics: <em></em>
⚠️Important: Ensure that all tags are properly closed. If they are not, it will break the layout.
Enter the GDS Description up to 96 characters.
The only special characters allowed: slashes (/), dashes (-) and dots (.)
Enter a Short Description to be used for mobile devices to optimize space.
Enter Room Upgrade CTA Text (if enabled) function that displays higher room categories in the cart as a pop up rather than the default drop down.
Choose the maximum total occupancy (including adults and children) the room can accommodate from the drop-down menu.
Select the maximum number of adults allowed to stay in the room the drop-down menu.
Select the maximum number of children to stay in the room from the drop-down menu.
If child age groups are enabled, the occupancy limits may be set for each age range.
Choose the number of rollaway beds allowed in the room – displayed as information only, not a guarantee.
Check the Restrict Oversell box if the room type may never be oversold, even if there is a house level oversell in place.
Check the ADA Compliant box if the room is compliant for the supported channels to display.
Enter the size of the room in square feet for supported channels to display.
Choose smoking or non-smoking status of the room from the drop-down menu.
Check Exclude from Room Upgrade List to exclude this room type from the room upgrade popup functionality for the CRS booking engine (if enabled).
Enter the minimum bookable rate.
Enter the maximum bookable rate.
Minimum and maximum bookable rates may be differentiated by day of the week by checking the days next to each value.
Click Save.
Multi-language configuration for room types
Add translations for room type descriptions as outlined below:
Go to Property Descriptions.
Go to Room Type.
Click on the Multi-language tab.
Select the Language from the drop down.
Enter the translated Room Type Name.
Enter the translated Room Short Name within the 32 character limit.
Enter the translated Room Type Description.
Enter the translated Room Short Description for mobile devices.
Enter the Room Upgrade CTA text (if enabled).
Click to Save.
📌Note: These translations and the default language content entered on this tab will be used for all transactional communications as well as booking engine content.
Adding amenities to room types
You can assign amenities to your room types to highlight features and benefits to potential guests. These are different than property level amenities that apply to everyone staying at the property. Follow the steps below to add the amenities.
Go to Property Description.
Go to Room Type.
Click the Amenity tab.
Click Add More Amenities.
Click the room type or multiple room types using the control key to add amenities.
Select the Amenity Category.
Select the specific amenities from that category in the smart search field:
Amenities listed with an asterisk have icons associated that will display on the booking engine.
Click to add all relevant amenities with the same cost or availability.
🤓Tip: Check 'supported by GDS' to filter down the results to those that display on the GDSs and add those first to ensure the room type shows well on those channels. Then uncheck the box to add any other relevant amenities for the direct channels.
Select from the dropdown the Cost/Availability to indicate for the amenity – these are just indicators to set guest expectations.
Confirmable and complimentary.
Confirmable with cost.
On Request and complimentary.
On Request with cost.
Exists.
Click Add to save.
Adding images and media to room types
Below will outline the recommended image specifications and how to add images and media to room types.
Recommended image specifications:
Size ratio: 4:3
File size: 512k for optimal page loading time, maximum image size: 2MB
Add multimedia content to room types
Go Property Description menu.
Go to Room Type.
Click the Multimedia tab.
Image upload method has two options:
Click Upload New Image button to upload from your computer.
Click Choose File.
Select the file from your computer.
Click Open.
Click Use Existing Image button and select from images already uploaded in Multimedia section for your chain.
Click Select to choose your image and return to the screen.
Enter image title for identification.
Maximum 80 characters.
Enter SEO/Alt Text for screen readers and accessibility compliance.
Maximum 120 characters.
Enter Sorting for order of images display.
Click Upload to save.
Channel control
Control channels the room types are sold. For extranet channels – such as OTAs – these are mapped as part of that channel setup, the support team will do this for you if you do not have access to do this yourself.
Follow the steps below to set channel availability for room types.
Go to Channel Control tab.
Check boxes for channels where the room type should be sold.
Enter a channel specific Name for the room type to use instead of the default to better appeal to those shoppers.
Enter channel specific Description to use instead of the default.
Click to Save.
📌Note on channel descriptions: If a room is confirmed via GDS or the voice application but later looked up or modified via booking engine, the booking engine channel description will be used if:
A booking engine channel description is entered for the language the guest is using.
There's no booking engine description entered or guest uses another language, the description under multi-language will display.
Closing a room type
Use this option if a room type is being retired or only will be bookable via the PMS. Closing the room type ensures it will not be sold via any CRS channels but will still have the PMS mapping in place to interface reservations confirmed in this room type for inventories to match.
Follow the steps below to close a room.
Go to Property Description.
Go to Room Type.
Locate and click the name of the room type to close.
Check the Closed box to the right of the room type.
Click Save.
