Chain level room type management allows hotel chains to create and distribute standardized room types across multiple properties. This centralized approach ensures consistency while providing control over property-level customization permissions.

Chain level room type management allows hotel chains to create and distribute standardized room types across multiple properties. This centralized approach ensures consistency while providing control over property-level customization permissions.

📌Note: If specific functionalities are enabled for any of the properties in the chain, those configuration elements will appear at chain level for management. They will only affect properties with optional features enabled.

Create chain level room types

Follow the steps below to create chain level room types

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Go to Create New tab.

  5. Enter the room type code that will be used to communicate to connected systems.

  6. Select the most appropriate room category from the drop down.

  7. Select the most appropriate room classification from the drop down.

  8. Select the number of bedrooms within the room type from the drop-down menu.

  9. Select the bed type from the drop-down menu.

  10. Select the number of beds in the room from the drop-down menu.

  11. Select the appropriate room view option if the room has a view.

  12. Enter the room type name.

    • HTML formatting is not allowed in product name fields.

  13. Enter the room short name.

    • Within 32 characters to be used for channels with limitations such as some GDSs.

  14. Enter the default room type description.

    • This description will be used unless there is a channel-specific description entered in the configuration.

    • HTML allowed in the description field:

      • Line breaks: <br>

      • Strong (bold type): <strong></strong> AND <b></b>

      • Italics: <em></em>

    ⚠️Important: Ensure that all tags are properly closed. If they are not, it will break the layout.

  15. Enter the GDS description up to 96 characters.

    • The only special characters allowed: slashes (/), dashes (-) and dots (.).

  16. Enter a short description to be used for mobile devices to optimize space.

  17. Enter room upgrade CTA text if enabled function that displays higher room categories in the cart as a pop up rather than the default drop down.

  18. Choose the maximum total occupancy including adults and children the room can accommodate from the drop-down menu.

  19. Select the maximum number of adults allowed to stay in the room the drop-down menu.

  20. Select the maximum number of children to stay in the room from the drop-down menu.

    • If child age groups are enabled, the occupancy limits may be set for each age range.

  21. Choose the number of rollaway beds allowed in the room – displayed as information only, not a guarantee.

  22. Check the Restrict Oversell box if the room type may never be oversold, even if there is a house level oversell in place.

  23. Check the ADA Compliant box if the room is compliant for the supported channels to display.

  24. Choose smoking or non-smoking status of the room from the drop-down menu.

  25. Check the boxes for the elements to allow hotel to modify these attributes. If left unchecked they will be visible but greyed out for hotel level users. Rooms may always be modified and reassigned from chain and business needs evolve.

    • Adult occupancy.

    • Children occupancy.

    • GDS description.

    • Room view.

    • Bed type.

    • Classification.

    • Multimedia.

    • Smoking preference.

    • Category.

    • Closed.

    • Rollaways.

    • Total occupancy.

    • Channel control.

    • Default sorting.

    • Room type description.

  26. Click Save.

Multi-language configuration for chain room types

Follow the steps below to add multi-language configuration for chain room types.

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Click on the Multi-language tab.

  5. Select the rate code from the dropdown in the upper right.

  6. Select the language from the drop down.

  7. Enter the translated room type name.

  8. Enter the translated room short name within the 32 character limit.

  9. Enter the translated room type description.

  10. Enter the translated room short description for mobile devices.

  11. Click to Save.

📌Note: These translations and the default language content entered on this tab will be used for all transactional communications as well as booking engine content.


Add images and media to chain room types

Below will outline the recommended image specifications and how to add images and media to chain room types.

Recommended image specifications:

  • Size ratio: 4:3.

  • File size: 512k for optimal page loading time, maximum image size: 2MB.

Add multimedia content to room types

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Click the Multimedia tab.

  5. Select the room type from the dropdown in the upper right.

  6. Image upload method has two options:

    • Click Upload New Image button to upload from your computer.

      • Click choose file.

      • Select the file from your computer.

      • Click Open.

    • Click Use Existing Image button and select from images already uploaded in Multimedia section for your chain.

      • Click Select to choose your image and return to the screen.

  7. Enter image title for identification.

    • Maximum 80 characters.

  8. Enter SEO or Alt Text for screen readers and accessibility compliance.

    • Maximum 120 characters.

  9. Location how image will be stored.

    • Standard this is recommended.

    • Small.

  10. Enter sorting for order of images display.

  11. Click Upload to save.


Chain channel distribution, this is optional

This section allows pre-assignment of booking channels prior to pushing the room to the property. The alternative is to set these channels at the property level after the room is updated.

Follow the steps below to set channel availability at chain.

  1. Click Chain Manager on the left navigation.

  2. Click Chain Level Default.

  3. Click Room Type.

  4. Click the Channel Control tab.

  5. Choose the Room Type from the dropdown

  6. Check boxes for channels where the room type should be sold:

    1. For extranet channels, these are mapped as part of channel setup - the support team will do this if you don't have access.

  7. Optionally enter channel specific descriptions to use instead of the main descriptions to better appeal to those shoppers.

  8. Click Save.

📌Note: If a room is confirmed via GDS or the voice application but later looked up or modified via booking engine, the booking engine channel description will be used if:

  • A booking engine channel description is entered for the language the guest is using.

  • If there's no booking engine description entered or guest uses another language, the description under multi-language will display.

  • Multi-language descriptions for all languages are used on confirmation emails via CRS and CRM.


Single room type assignment

Follow the steps below to assign a single room type.

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Select assign to hotel.

  5. Choose the room type from the dropdown in the upper right.

  6. Choose desired hotels.

  7. Click Next.

  8. Select specific room type elements to assign to chosen properties

  9. Click Update.

Multi-room type assignment

Follow the steps below to assign multi-room type.

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Select multi room type tab to choose multiple room types.

  5. Search for room type or select from the list on the left.

  6. Click Add for the chosen room or rooms to move to the right column.

  7. Click Send to Assign to Hotel.

  8. Choose the chain or hotel group name from the dropdown, if used.

  9. Click in the hotels field to choose the property or properties or click Select All.

  10. Click Next.

  11. Select specific room type elements to assign to chosen properties:

    • Room type.

    • Multi channel description.

    • Multi language description.

    • Channel control.

    • Multimedia.

  12. Click Submit Request.

Convert property room types to chain management

Follow the steps below to convert property room types to chain management.

  1. Go to Chain Manager.

  2. Go to Chain Level Default.

  3. Go to Room Type.

  4. Select replace existing hotel level room type tab.

  5. Choose the rate code from the dropdown.

  6. Choose the hotels by clicking in the box and selecting as needed.

  7. Click Next.

  8. Select specific room type elements to assign to chosen properties:

    • Room type.

    • Multi channel description.

    • Multi language description.

    • Channel control.

    • Multimedia.

  9. Click Submit Request.
