The CRS provides two options for retrieving Expedia bookings when standard delivery fails or during system outages.

Expedia reservation retrieval

The CRS provides two reservation retrieval options for Expedia bookings. The first is to retrieve individual bookings by reservation ID. The second is to recover bookings over a period of time after system outages. These options help ensure all guest bookings are captured even when standard delivery processes experience interruptions.

Option one: Retrieve by Expedia reservation ID

Use this option when you receive a booking notice from Expedia that failed to deliver through the CRS. You can retrieve single or multiple reservations to pull the latest booking updates into your CRS, which then forwards the information to your PMS.

⚠️Important: Retrieved bookings include a comment stating retrieved after outage: Some data points not available: CC details, compensation and per-stay or per-person fees. View booking in extranet for these details.

Retrieve Expedia booking at property level

Follow the steps below to learn how to retrieve Expedia booking at property level.

  1. Go to Reservation menu.

  2. Go to OTA Reservation Management.

  3. Go to the Retrieve Booking tab.

    • Select Expedia from the dropdown if more than one OTA is enabled.

  4. Enter the OTA confirmation number in the Expedia External ID field.

    • To retrieve multiple bookings at once, separate IDs with commas.

  5. Click Submit for the bookings to appear in the CRS.

Retrieve Expedia booking at chain level

Follow the steps below to learn how to retrieve Expedia booking at chain level.

  1. Go to Chain Manager menu.

  2. Go to External Booking Channel.

  3. Click on the relevant hotel for the Expedia channel.

  4. Go to the Reservation Retrieval tab.

  5. Select External ID from the Filter On dropdown menu.

  6. Enter the Expedia ID.

    • To retrieve multiple bookings, separate IDs with commas.

  7. Click Submit for the bookings to appear in the CRS.


Option two: Bulk retrieval after system outages

The support team handles this process automatically during system-wide outages. When outages occur, part our process is to retrieve affected bookings once services restore.

To minimize duplicate entries:

  • Avoid manually entering Expedia bookings into your PMS unless the booking is for same-day arrival.

  • Retrieved bookings after the outage will be delivered to your PMS, including same-day arrivals.

  • Some duplication cleanup may be necessary for same-day bookings entered manually.

πŸ“ŒNote: Bookings retrieved via the CRS during outage periods remain flagged as fall back method in Expedia. Modifications or cancellations for these bookings will be sent to your hotel's fallback email address and won't appear in the CRS.
