Reservation management in CRS admin
The CRS admin reservation management system allows you to search, view and manage guest bookings from all channels. Access individual reservation details through the res detail section to review booking information, guest data and reservation history.
The system displays reservations booked today by default, with options to search by specific dates, channels or guest information. You can view both active and canceled reservations using separate tabs.
πNote: Reservation modifications should originate from the source booking channel. CRS Admin viewing is primarily for information access and limited administrative actions.
Search for reservations
Follow the steps below to learn how to search for reservations.
Go to Reservation.
Select Res Detail to open the reservation search interface.
Go to Reservation tab.
Enter your choice of criteria and click Search.
Booking date - When the reservation was created.
Arrival date - Guest check-in date.
Updated date - Last modification date.
Departure date - Guest check-out date.
By channel filter: Select from enabled channels for your property to narrow search results.
Reservation number - CRS reservation ID or channel reservation ID.
Guest name - First or last name from booking.
Click the reservation number of the booking to view the details in the modal.
Reservation status indicators
Outlined below are the indicator meanings.
N = New: Recently created reservation.
M = Modified: Reservation with changes since creation.
C = Canceled: Canceled booking.
Reservation detail tabs information
Outlined below are the reservation detail tabs and what information is available.
Itinerary tab: Check-in dates, room details, and booking amounts.
Guest info tab: Guest contact information and details entered during booking.
Corp/TA tab: Corporate account and travel agent information when applicable.
Comments tab: Booking notes, payment details, loyalty information, children details, and other booking data that passes to your PMS.
Billing/Policies tab: Credit card information and reservation-specific policies Credit card data is deleted 14 days post departure.
Add-ons tab: Additional services and products included with the booking.
Reservation log tab: Complete change history for the reservation with timestamps.
Modification restrictions
Reservations cannot be modified in CRS Admin. All booking changes should originate from the source booking channel to maintain data integrity and channel synchronization.
Cancellations
Cancellation capabilities can be enabled per property for users with appropriate role permissions to action, contact the support team [email protected] to have this enabled for the property.
To cancel a reservation in CRS admin follow the steps below.
Go to Reservation.
Select Res Detail to open the reservation search interface.
Go to Reservation tab.
Enter your criteria to locate the reservation and click Search.
Booking date - When the reservation was created.
Arrival date - Guest check-in date.
Updated date - Last modification date.
Departure date - Guest check-out date.
By channel filter: Select from enabled channels for your property to narrow search results.
Reservation number - CRS reservation ID or channel reservation ID.
Guest name - First or last name from booking.
Click the reservation number of the booking to view the details in the modal.
Go to the Cancel tab.
Check the box Please Check to Confirm Cancel.
Click Cancel.
Reservation changes
To view reservation changes in CRS admin follow the steps below.
Go to Reservation.
Select Res Detail to open the reservation search interface.
Go to Reservation tab.
Enter your criteria to locate the reservation and click Search.
Booking date - When the reservation was created.
Arrival date - Guest check-in date.
Updated date - Last modification date.
Departure date - Guest check-out date.
By channel filter: Select from enabled channels for your property to narrow search results.
Reservation number - CRS reservation ID or channel reservation ID.
Guest name - First or last name from booking.
Click the reservation number of the booking to view the details in the modal.
Go to the Reservations Log tab.
Click Open Reservation Log button if present to view the changes.
You will see one line for each modification to compare the changes.
Cancelled reservations
Search for cancelled reservations by following the steps below.
Go to Reservation.
Select Res Detail to open the reservation search interface.
Go to Cancellation tab.
Enter your criteria and click Search.
Cancel date β when reservation was cancelled.
Booking date - When the reservation was created.
Arrival date - Guest check-in date.
Updated date - Last modification date.
Departure date - Guest check-out date.
By channel filter: Select from enabled channels for your property to narrow search results.
Reservation number - CRS reservation ID or channel reservation ID.
Guest name - First or last name from booking.
Click the reservation number of the booking to view the details in the modal.
Reservations with add-ons
Search reservations with add-ons by following the steps below.
Go to Reservation.
Select Add-Ons Detail.
Go to Reservation tab.
Enter your choice of criteria and click Search.
Booking date.
Arrival date.
Updated date.
Departure date.
Reservation number.
Guest name.
Click the reservation number of the booking to view the details in the modal β this is the same modal from the reservation search.
Search cancelled reservations with add-ons
Search reservations with add-ons that have been cancelled by following the steps below.
Go to Reservation.
Select Add-Ons Detail.
Go to Cancellation tab.
Enter your criteria and click Search.
Cancel date.
Booking date.
Arrival date.
Updated date.
Departure date.
Reservation number.
Guest name.
Click the reservation number of the booking to view the details in the modal β this is the same modal from the reservation search without the cancel tab.
