Property description menu
Set up all essential information about your hotel that displays on the CRS booking engine, voice application, GDS channels, and third-party platforms via CRS APIs. This information directly impacts how your property appears to potential guests across all selling channels, so accuracy is critical.
⚠️Important: If updating existing property description content, open a case with support to publish these changes made in the CRS to the GDS on your behalf [email protected]
They will ensure it is successfully transmitted and confirm when complete.

Add languages to your CRS configuration
Follow the steps below to learn how to add languages.
Go to Property Description.
Go to the Languages menu.
Select the checkboxes for any additional languages.
Enabling languages opens fields in multilanguage tabs throughout the system for translated content. Enabling only is recommended when you are entering all of the content for the first time and are not ready to use yet.
Publishing languages activates them for the system to display translations in relevant systems.
Click Save.
Add your property's address and contact information
Configure your property's basic information and contact details. The required fields are marked with the red asterisk.
Follow the steps below to learn how to add your property's address and contact information.
Go to Property Description.
Go to the Address / Contacts menu.
Enter the property name, the CRS propertyID will be prepopulated from the system.
Enter the property short name within 30 characters.
Enter your property's physical address using the fields as required.
Address 1.
Address 2.
City.
State/Province.
Zip/Postal Code.
Country via the dropdown.
Add contact information for guest communications in the fields.
Main telephone.
Reservation telephone.
Main fax.
Reservation fax.
Hotel or brand website.
Reservation email.
Add the property coordinates.
Longitude.
Latitude.
Time zone.
Add general manager details.
Name.
Email.
Telephone.
Fax.
Click Save.
Add currencies for display in the booking journey
The CRS supports displaying informational currency conversions in the CRS booking engine flow for booker reference throughout the reservation journey. Reservations confirm in the hotel's default or base currency.
Follow the steps below to add currencies for display in the booking journey.
Go to Property Description.
Go to the Currency menu.
Click Add more currency.
Choose the currency from the dropdown menu.
Click Add and Save.
📌Note: Reservations will be confirmed at the hotel's default currency unless the multi-currency functionality for bookings is enabled with rates configured.
Set up taxes and fees
Configure your property's tax structure and fee information.
Add property descriptions
Enter property descriptions that provide information for the CRS booking engine, voice application, GDS channels, and third parties which pull information from the GDS. The required fields are indicated with a red asterisk. Follow the steps below to add property descriptions.
Go to Property Description.
Go to Descriptions.
Enter the year built.
Enter the year renovated (if applicable).
Choose the best fit property category from the dropdown menu for GDS channels.
Choose the unit of measurement from the dropdown menu either miles or kilometers.
Choose the best fit property type from the dropdown menu for GDS channels.
Enter the property’s long description within the 2000 character limit.
Enter the property’s seamless description as shown on the GDS within the 250 character limit.
Enter the property’s last renovation description within the 2000 character limit.
Enter the property’s selling points within the 250 character limit.
Enter the property’s low price guarantee within the 250 character limit.
Select the rating number from dropdown for entities where property is rated.
AAA.
Mobil.
Star.
OHG.
Optionally choose the review site from the dropdown with approval from the reputation management company to display on the CRS booking engine.
Reevo.
TripAdvisor.
Select the rating from the dropdown.
This must be manually updated if it changes over time.
Enter review text to display on the CRS booking engine header version one.
Enter the link back URL to the reputation management site.
Check the box if property complies with US government fire and safety standards.
Check the box if the property complies with the American Disability Act ADA guidelines.
Click Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps for entering the translated content. The seamless description must always be in English for the GDS.
Click Save.
Upload multimedia content

Configure location information
Enter location information for your property including nearest airports, cities, and transportation options. This information is vital for your property to appear displayed in the call center and on the GDS when an agent sends an availability request. This is a key factor in determining property viewership. Follow the steps below to add location information to your property.
Add location information
Go to Property Description.
Go to Location.
Go to the Description tab.
Select the category that best fits the property.
Enter the description for guests to best understand where the property is situated, there is a 2000 character limit.
Enter the seamless location description to display on the GDS, there is a 250 character limit.
Click Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Enter the translated description for guests to best understand where the property is situated within a 2000 character limit. The seamless description must always be in English for the GDS.
Click Save.
Enter cities information
Go to Property Description.
Go to Location.
Go to the Cities tab.
Click Add New City.
Enter the city information:
Country.
Region, if enabled.
City name.
City code, international standard.
Check the box if this is the primary city associated with the hotel
Enter the distance to the property in miles or kilometers.
Enter the direction the property is located relative to the city center from the drop down.
Enter the driving description to the property within 1024 characters.
Click Add New City.
Enter nearby airport information
Go to Property Description.
Go to Location.
Go to the Airport tab.
Click Add New Airport.
Enter the airport code or click Find to locate from the modal:
From the modal, filter by the drop down for country.
Select the airport from the drop down for that country.
Enter the distance to the property in miles or kilometers.
Enter the direction the property is located relative to the airport from the drop down.
Enter the driving description to the property within 1024 characters.
Click Add Airport.
Click the Transportations Tab.
Click the Add New Transportation to add common airport options and enter an approximate charge.
Click Add to save.
Add alternative properties
When guests or agents search for your property and there is no availability for their dates, the booking engine and voice application automatically display alternative properties. Follow the steps below to set up an alternative property.
Go to Property Description.
Go to Location.
Go to the Alt Property tab.
Choose the alternate property from the dropdown:
The list may be filtered by country.
Enter the distance in miles or kilometers based on your property's configuration.
Enter the direction from the dropdown of the alternate property from the original selection.
Enter the city code.
Click Save.
📌Note: Alternative property display in the following way:
Properties display to the shopper in the exact order you enter here.
Only properties with availability for guest dates will show.
Delete and add properties as needed or reorder for different display preferences.
Adding reference points
Reference points should include places like conference centers, hospitals, tourist spots, stadiums and natural attractions. Follow the steps below to add your properties reference points.
Go to Property Description.
Go to Location.
Go to Reference Points tab.
Click Add New Reference Point.
Select country from dropdown.
Select reference point category from dropdown.
Enter reference point name.
Enter reference point description within 50 characters.
Enter longitude.
Enter latitude.
Select if primary to the property, always enter the primary first.
Enter distance and unit of measurement either miles or kilometers.
Enter direction to hotel from the dropdown:
North / Northeast / Northwest.
South / Southeast / Southwest.
East.
West.
Enter the sorting order.
Enter driving directions to the hotel.
Click Add New Reference Point to save.
Click the Transportations Tab.
Select the add new transportation to add common local options and enter an approximate charge.
Click Add to save.
Add a property amenity
Showcase amenities specific to your property. Entries in this area should be relevant to the entire hotel. Amenities may also be entered against a specific room type for further clarity in the selling process.
CRS Booking Engine display: Property amenities will have up to 16 listed.
Call Center display: Property amenities will have up to ten listed.
Follow the steps below to add property amenities.
Go to Property Description.
Go to Amenities.
Click Add More Amenities.
When assigning amenities, it is recommended check the Supported by GDS box to see those supported and choose those first to ensure you have good representation on the GDS channels. Clear the checkbox to see all amenities available to be selected.
Choose the type and location from the dropdown menu.
Choose the amenity category from the dropdown menu.
Click in the amenities field to use the smart search functionality to type and search for amenities to add multiples at one time.
Amenities with an asterisk next to the name indicate an icon will display for the CRS booking engine in addition to the amenity name.
Select Cost/Availability of the amenity or amenities.
Click Add.
Meeting Information
Follow the steps below to learn how to add meeting room information.
Add general information about meeting rooms
Go to Property Description.
Go to Meeting Information menu.
Go to the General Information tab.
Enter total number of meeting rooms.
Enter unit of measure from dropdown.
Enter measurement for all meeting space.
Enter capacity for all meeting space.
Enter largest room measurement.
Enter largest room capacity.
Enter smallest room measurement.
Enter smallest room capacity.
Enter general meeting information, maximum of 2000 character.
Enter group meeting information, maximum of 2000 character.
Click Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps to enter the translated content.
Click Save.
Repeat for any additional languages supported.
Add individual meeting room information
Go to Property Description.
Go to Meeting Information menu.
Go to the Meeting Rooms tab.
Click Add New Meeting Room.
Enter the Meeting Room Name.
Choose the Unit of Measurement from the dropdown menu.
Enter Total Measurement of the meeting room.
Enter meeting room Capacity.
Click Save.
Dining Information
Follow the steps below to learn how to add dining information.
Configure the property’s dining information highlights
Go to Property Description.
Go to Dining Information.
Go to the Highlights tab.
Enter the number of restaurants located on the property.
Enter the description of major highlights of dining on the property within 2,000 characters.
Enter relevant information for the different dining services on your property if applicable: Full room service, limited room service, lobby coffee service or evening reception.
Check the box if the offering is complimentary or included with the room stay.
Enter estimated usage charge for reference.
Select checkbox if available 24 hours.
If not 24 hours, enter opening from hour.
If not 24 hours, enter closing to hour.
Indicate if only open certain days of the week by checking the box for each day.
Click Save.
Configure the property’s restaurants
Go to Property Description.
Go to Dining Information.
Go to the Restaurant tab.
Click Add More Restaurants to add details about any on-site or nearby restaurants.
Enter name of the restaurant.
Choose the proximity of the restaurant from the dropdown menu.
Onsite.
Offsite.
Nearby.
Information not available.
Onsite and offsite.
Select the checkbox(es) for the meals served at the restaurant.
Breakfast.
Lunch.
Dinner.
Brunch.
Enter the description for the restaurant within the 2000 character limit.
Click Create.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps to enter the translated content.
Click Save.
Repeat for any additional languages supported.
Repeat for additional restaurants guests should know about.
Set up different policies.
Children age groups also known as child age buckets allow you to assign child age ranges which may then have different price points based on the age of the child. The pricing configured for rate codes applies child pricing as supplements to the adult price based on the ages set here.
General policies are applicable to every guest. Below is a general overview of each section with required fields indicated with a red asterisk.
Configure general policies
Go to Property Description.
Go to Policies menu.
Go to General Policies submenu.
Enter check in hours from the dropdown menu to set the standard check-in time for each day of the week.
Enter check out hours from the dropdown menu to set the standard check-out time for each day of the week.
Enter the early check out charge if a guest departs before their confirmed departure date.
Select from the drop down if the amount is a
Flat fee.
Percentage of the room rate.
Select from the drop down if the early check out charge is applicable.
Booking, as soon as the reservation is confirmed.
Check in, can change check out date at check in free of charge.
Enter any other general terms and conditions for guests to be aware of.
Add contract/negotiated rates policy.
Check the box if booking a corporate rate requires company ID at check In.
Enter corporate rates policy.
Enter the extended stay policy.
Check the box if booking a government rate requires Government ID at check In.
Enter government rates policy.
Check the box if booking a government rate is subject to change at any time.
Set oversold policy by checking the applicable boxes.
Property will arrange accommodations at a comparable hotel.
Property will pay for one night room and tax at a comparable hotel.
Traveler will be provided with free transportation to alternate hotel.
Traveler will be reimbursed for at least one phone call to home or office.
Enter the oversold policy.
Enter travel agency/industry rates information.
Check the box Passport required at check in for foreign nationals upon arrival.
Enter travel visa requirements.
Enter hotel operating hours.
Click to Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps to enter the translated content.
Click Save.
Enter the property’s family plan
Go Property Description.
Go to Policies.
Go to Family Plan submenu.
Choose from two check box options:
Check the Family Plan Available box if the property allows children.
Choose the age from the dropdown for the children stay free up to age.
Choose the age from the dropdown for the children pay reduced rates Up to Age
Check the Property Inappropriate box for children if the property does not allow children.
Enter the family plan description.
Click to Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps to enter the translated content.
Click Save.
Enter the property’s pet policy
Go Property Description.
Go to Policies.
Go to Pet Policy submenu.
Check the box for Pets Allowed On Property if you accept pets.
Leave unchecked if pets aren't allowed.
Enter the number of max of pets allowed on property per reservation.
Enter the number of max allowable weight of pets.
Enter the amount of the pet deposit, if applicable.
Check the box if the deposit non refundable.
Click to Save.
Enter translated content by choosing the language from the drop down in the upper right of the screen.
Repeat the above steps to enter the translated content.
Click Save.

Check the box(es) to enable accepted credit cards.

Set up extra charges
📌Note: On the GDS, the extra charges for adult and child display as information only. The specific extra room fees must be configured in the rate charges to apply to a reservation.
Configure additional charges that may apply to reservations
Follow the steps below to configure additional charges.
Go to and click on the Extra Charges row.
Enter indicative prices for common extras to display on the GDS.
GDS extra adult charge.
GDS extra children charge.
Rollaway adult charge.
Rollaway child charge.
Crib charge.
Click Save.
