Voice application share with functionality
Share with is an optional module allows central reservation agents to combine two separate guest bookings and determine how room charges apply during overlapping nights. The feature integrates with Opera PMS to display shared reservations consistently across both systems.
📌Note: Share With requires activation for the property and the voice application instance, contact the support team [email protected] if you would like to activate this feature.
Requirements for sharing
Both reservations must have:
Same rate code and room type.
Overlapping stay dates.
One designated as primary booking.
Combined occupancy within room type limits.
Both reservations must belong to the same group or package before sharing.
Create shared bookings
Follow the steps below to create shared bookings.
In the voice application, go to existing reservation.
Locate one of the reservations via the criteria and click Look Up.
Property – required if guest profiles are set at property not chain level.
Confirm ID.
Date from.
Date to.
First name.
Last name.
Member number.
Email.
PMS confirm number.
External booking ID.
Click on the Reservation ID of the reservation.
Click the Modify Reservation button in the lower right.
Next to share with click modify and the search modal will appear.
Search for the second reservation using confirmation number, PMS ID or guest name and click Look Up.
Check the box to indicate the primary. Only reservations available to be shared will appear.
Check the box to indicate the additional bookings to share with the primary.
Choose share type for each booking from dropdowns:
Split: Guests divide room costs equally.
Full: Each guest pays the full rate (for inclusive rates).
Entire: This guest pays the full rate, others pay nothing.
None: This guest pays nothing.
PMSin: Do not use, for PMS inbound reservation shares only.
Save to create the share.
The system creates a shared identifier visible in both voice application and integrates to Opera PMS.
Break a share booking
Follow the steps below to break a shared bookings.
In the voice application, go to existing reservation.
Locate one of the reservations via the criteria and click Look Up.
Property – required if guest profiles are set at property not chain level.
Confirm ID.
Date from.
Date to.
First name.
Last name.
Member number.
Email.
PMS confirm number.
External booking ID.
Click on the Reservation ID of the reservation.
Next to share with click modify and the search modal will appear.
Unselect the check box on the right side of the booking to remove from the share.
Reassign the billing share type for each booking if needed:
Split: Guests divide room costs equally.
Full: Each guest pays the full rate (for inclusive rates).
Entire: This guest pays the full rate, others pay nothing.
Save to break the share and each guest will have their own room booked.
The system will communicate the change to Opera PMS.
System behavior and limitations
Outlined below are the system behavior and limitations of the voice application, share with reservation.
Voice application functionality: Activity logs record all sharing actions and modifications with user messaging to ensure agents recognize sharing involvement.
Opera PMS integration: Shared reservation identifiers help property teams recognize linked bookings and apply charges correctly. System sends OXI messaging to PMS for proper updates when shares are modified or broken.
Multiple sharing capability: You can add multiple guests to existing shares by initiating the share action from any existing shared reservation, provided occupancy limits are not exceeded.
Cancellation handling: When canceling the primary reservation in a share, the system prompts to assign a new primary from remaining guests. Cancel reasons can be configured to record changes appropriately.
Booking engine limitations: Guests cannot modify shared reservations online and see modification of a shared reservation is not allowed.
