Reservation modification overlay
With modification overlay enabled, and if the policies allow, guests can modify existing reservations via the booking engine while keeping the original terms and conditions for nights they aren't changing.
Without this feature enabled, the system treats all modification requests as entirely new bookings based on current availability, which may result in different rates or unavailable dates that could lead guests to cancel their reservations.
πNote: This feature is only supported for the CRS booking engine, while Voice Application users have override capabilities to achieve the same functionality.
Adding nights to existing reservations
Outlined below are the options of adding nights to existing reservations:
Existing nights protection
The system retains existing reservation nights for availability and price where those nights are not being modified, allowing guests to keep their original booking terms even if the property has since applied closures or rate changes to those dates.
New nights evaluation
Additional nights are subject to all current restrictions including inventory, rate attributes, and closures. Guests see availability and pricing for new nights based on current conditions.
Room type availability check
If the reserved room type is available for additional nights, guests see their current room and rate preselected on the modification screen with no other options displayed.
If the reserved room type is not available for additional nights, guests see the message "Your selected room is not available" and can select another room type for the entire stay at the prevailing rate.
Length of stay restriction enforcement
Minimum Length of Stay (Min LOS) and Maximum Length of Stay (Max LOS) restrictions consider the entire stay duration β pre-existing and new nights.
If the total stay doesn't meet length of stay requirements, guests cannot complete the modification even though some nights are already confirmed.
Date restriction handling
Existing nights ignore general closures, inventory restrictions, and rate attribute changes.
Closed to Arrival restrictions apply when guests shift their arrival date to a restricted date and will receive a message to select an alternate arrival date.
Closed to Departure restrictions apply when guests shift their departure date to a restricted date and will receive a message to select an alternate departure date.
Rate determination process
The system first checks if the rate from the existing reservation is available for additional nights.
If the original rate is available, guests see consistent pricing across their stay.
If the original rate is no longer available, the system applies the general availability price for the same room type for the new nights.
Reducing nights from existing reservations
Outlined below are the options of reducing nights to existing reservations:
Remaining nights protection
The system retains confirmed nights that aren't being removed, maintaining original availability and pricing for those dates regardless of current restrictions. The change in dates will only be allowed if the new dates meets the restrictions above β length of stay and closed to arrival or departure.
System configuration
The support team can enable or disable this functionality for your property or properties as needed if you do not have access to the Client Manager area. Once enabled, this logic applies to all future modifications to existing reservations for the property.
