Everything you need to know to get started as a chain manager in CRS.

As a chain manager in CRS, you oversee user access and configuration across multiple properties from a centralised location. The Chain Manager menu gives you the tools to manage roles, users, and hotel access at group level, streamlining administration across your entire portfolio.

This guide walks you through the key tasks you'll carry out as a chain manager in the CRS.

Log in for the first time

Before carrying out any chain management tasks, you'll need to log in to the CRS and configure your account security.

  • Log in using your unique email address and set your password on first login.

  • Complete multi-factor authentication (MFA) to verify your identity, a six-digit code is sent to your registered email by default.

  • Set up mobile app authentication using an authenticator app such as Duo, Authy, Google Authenticator, or Microsoft Authenticator.

  • Re-enter your MFA code if prompted, codes expire after five minutes.

🤓 Tip: Mobile app authentication is recommended for a faster and more secure login experience. Set it up via Chain Manager, then User Preference.


Create and manage roles

The Chain Manager security menu lets you create both chain-level and property-level roles. Setting these up before creating users ensures everyone has the right access from day one.

  • Create chain-level roles with access to chain management areas such as chain setup, hotel grouping, user management, chain reports, and billing export.

  • Create property-level roles from the chain manager to control access to property-level areas such as rate management, reservations, availability, and security.

  • Assign permissions as none, read only, or full for each menu area within the role.

  • Test all new roles before assigning them to users to ensure they align with your business requirements.

⚠️ Important: Create and test all new user roles to ensure they align with your business practices and requirements before assigning them to users.


Manage chain-level users

Once roles are in place, you can create new chain-level user accounts or extend access to existing users already set up in the CRS.

  • Create new chain-level user accounts with a unique username, email address, and temporary password.

  • Assign the appropriate chain-level role from the dropdown based on the user's responsibilities.

  • Grant existing users access to the chain area by entering their existing username and assigning a chain-level role.

  • Limit rate code access for individual users to control which rates they can view or modify.

📌 Note: Users created at property level only won't appear in the chain-level user list. Manage these users through the property-level security menu instead.


Assign hotel access

After creating a chain-level user, use the Hotel Access tab to control which properties they can access and at what permission level.

  • Grant access to all hotels in the chain, or limit access to a specific selection.

  • Assign a property-level role for each hotel the user needs access to.

  • Leave the role dropdown set to no access for any properties the user should not be able to view or modify.

  • Ensure all properties in the chain use the same security level for consistent cross-property permissions.
