As an administrator in CRS, you're responsible for setting up and maintaining user access across your property or chain. Getting familiar with the security and user management tools will help you onboard team members quickly and keep permissions up to date as your team evolves.
This guide covers the key tasks you need to carry out to get your team set up and your CRS running securely.
Log in for the first time
Before carrying out any administrative tasks, you'll need to log in to the CRS and configure your account security.
Log in using your unique email address and set your password on first login.
Complete multi-factor authentication (MFA) to verify your identity a six-digit code is sent to your registered email by default.
Set up mobile app authentication using an authenticator app such as Duo, Authy, Google Authenticator, or Microsoft Authenticator.
Re-enter your MFA code if prompted, codes expire after five minutes.

Create and manage user roles
User roles control what each team member can view and modify in the CRS. Setting up roles before creating user accounts ensures everyone has the right access from day one.
Understand the three access levels: none, read only, and full.
Create a new role with a descriptive name, such as front desk or revenue manager.
Set access levels for each section of the CRS, including reservations, rate management, reports, and security.
Review and update roles as your team's responsibilities change.
📌 Note: You need security user permissions for your property or chain to add new user roles.
Create and manage user accounts
Once roles are in place, you can create an account for each team member and assign the appropriate role based on their responsibilities.
Create a new user account with a unique username and email address.
Assign a role from the dropdown to set the user's access permissions.
Grant access to existing users who are already set up in the CRS at another property.
Contact support or your system administrator to reactivate accounts that have been inactive for 90 days or more.
Manage chain-level access
If your property is part of a chain or group, the Chain Manager security menu lets you manage user access and roles across multiple properties from a single location.
Set up chain-level roles and assign them to one, some, or all properties in your chain.
Grant chain-level users access to property-level areas of the CRS.
Ensure all properties in the chain use the same security level for consistent cross-property permissions.
