Retrieve credit card information

Guest's data is highly protected in our systems including their methods of payment. As a credit card handler, we are PCI-certified and have stringent processes in place to protect your guest's payment details.

View credit card information

Firstly, it is highly recommended that you do not view credit card details from the CRS. All credit card information will be available in the PMS or via secure tax delivery. These are all PCI-approved methods of passing credit card information securely. The last option should be viewing card details via the CRS.

View credit card details via fax

To receive the credit cards via fax, this is enabled by the following steps:

  1. Click Client Manager and click My Properties.

  2. From the dropdown menu called Fax Service select WS Fax.

  3. From the dropdown menu called Send Res Fax to Hotel and select Always Enabled.

  4. Tick Send CC to Hotel via Fax.

  5. Click Save.

View credit card details in the CRS

To gain access to view credit cards, a request must be submitted to the support team. You will need to provide the support team with your IP address, as this needs to be whitelisted. To obtain your IP address, simply Google what is my IP address.

Once you have been given access to view credit card details follow the steps below to view them via the CRS.

  1. Log into CRS from the whitelisted IP address.

  2. Click Reservation.

  3. Click Res Detail.

  4. Search for the reservation by confirmation number, guest name or any other available option.

  5. Open the reservation.

  6. Click Billing / Policies.

  7. Click Access Credit Card Data.

๐Ÿ“ŒNote: The CVV may only be viewed once, after it is viewed, it is removed from the system. A credit card and the number of reservations with credit cards may be viewed multiple times within one hour. Up to ten cards may be viewed in one session with a maximum view of fifty cards in one hour.


Troubleshooting credit card issues

Outlined below maybe some troubleshooting issues you may have when accessing credit card details.

Is the reservation canceled?

Credit card information is removed from the system upon cancelation.

Is the reservation past the checkout date?

Credit cards are removed from the system 14 days after the checkout date.

๐Ÿ“ŒNote: Once a credit card is removed from the system it is purged permanently. It is not possible to reinstate the credit card.

Have you hit the access limits?

For protection, we limit the number of times credit card & CVV information can be retrieved. Credit card view per hour limit is 50 and per session limit is 10. This means when you log in to the CRS, you can only see 10 credit cards within an hour. CVV view one-time limit and so after the one view, it is removed from the CRS.

Was an IP address updated?

Internet Service Providers often change your IP for security reasons.

Was the reservation updated by the channel or the PMS?

An integration can remove credit card information if an update to the reservation is performed and the modification message to the CRS doesn't include the credit card information.
