Manage availability restrictions across your selling channels

Apply booking restrictions at different levels to control your selling strategy across all connected channels and systems.

Availability restrictions

The availability section allows you to apply restrictions across different aspects of your selling strategy at various levels—either directly in the CRS or through connected systems such as your PMS or RMS. All updates are automatically distributed to connected channels by the CRS, though it may take up to 30 minutes for some extranet channels to reflect these changes on their travel sites.

📌Note: Stay restrictions can also be set directly on rate codes to always apply to your direct channels, alongside occupancy limits on rooms and rates for more granular control of your selling strategy. For third-party channels that rely on extranets, availability restrictions may need to be applied either as ad hoc rules in the CRS or directly within the extranet if they don't support this level of detail with the integration. Refer to the relevant extranet playbooks to take full advantage of automation options available.


View all availability updates

You can see all restrictions at various levels in the CRS collectively on the screen. Follow the steps below to see all restrictions at various levels.

  1. Go to Availability.

  2. Go to View All on the left hand navigation.

  3. Go to View All tab.

  4. Select from date to display.

  5. Select from the dropdown all to see all restrictions applied or choose a specific restriction type to filter the results.

    • Close.

    • Close to arrival.

    • Close to departure.

    • Stay through only.

    • FPLOS: Close.

    • FPLOS: Close to arrival.

    • FPLOS: Close to departure.

    • Min A_LOS.

    • Max A_LOS.

    • Min S_LOS.

    • Max S_LOS.

    • Lead time.

  6. Click View for each restriction in place at each level and results may be exported.


Calendar view of availability updates

You can see all restrictions at various levels in the CRS collectively on the screen. Follow the steps below to see all restrictions at various levels.

  1. Go to Availability.

  2. Go to View All on the left hand navigation.

  3. Go to Calendar View tab.

  4. Select from date to display.

  5. Click View for calendar to display.

    • View different levels of restriction by scrolling down the screen.

      • Property.

      • Room type.

      • Rate code.

      • Add-Ons.

    • Dates in green indicate an availability control in place.

      • Red indicates a closure.

      • Yellow indicates a stay restriction but the date remains bookable.


Research restrictions for a stay date

You can see restrictions affecting a specific stay date on the screen. Follow the steps below to see restrictions affecting a specific stay date.

  1. Go to Availability.

  2. Go to View All on the left hand navigation.

  3. Go to Research tab.

  4. Select from date to display restrictions applicable to that night.

  5. Enter a specific rate code to query, this is optional.

  6. Click View for each restriction in place at each level for that stay date.


Update availability restrictions

You can update availability at various levels in the CRS. These are listed hierarchically, meaning that restrictions placed at higher levels affect associated lower levels:

  • Property level restrictions affect all associated rooms, rates, and channels.

  • Room level restrictions affect all rates and channels associated with the room type.

  • Rate category level restrictions affect all rates in that specific category.

Apply restrictions

  1. Go to Availability.

  2. Click the desired level to place the restriction from the left navigation.

    • Property.

    • Room type.

    • Room class.

    • Rate code group.

    • Rate category.

    • Rate code.

    • Room or rate.

    • Room or rate code group.

    • Channel.

    • Sub channel.

    • Add-ons.

      • Only closed restriction allowed for add-ons.

    • Group.

  3. Click Update button to open the modal.

  4. Choose from date.

  5. Choose to date.

    • If only applying a restriction to one day from and to will be the same date.

  6. Select the appropriate option in the restriction type drop-down menus.

    • Close.

    • Close to arrival.

    • Close to departure.

    • Stay through only.

    • FPLOS: Close.

    • FPLOS: Close to arrival.

    • FPLOS: Close to departure.

    • Min A_LOS.

      • Extra field will appear to enter the number to apply.

    • Max A_LOS.

      • Extra field will appear to enter the number to apply.

    • Min S_LOS.

      • Extra field will appear to enter the number to apply.

    • Max S_LOS.

      • Extra field will appear to enter the number to apply.

    • Lead time.

      • Extra field will appear to enter the number to apply.

  7. Click the element to apply the restriction or multi-select by holding the CTRL key.

  8. Check the weekly pattern that applies to the availability within the specified date range.

  9. Click Submit.


Restriction types

Each restriction type controls different aspects of booking availability:

Basic closures:

  • Remove All Closure - Opens any closures (not stay restrictions).

  • Close - No availability at the property at all for the date range.

  • Close to arrival - No availability for arrivals during the date range.

  • Close to departure - No availability for departures during the date range.

  • Stay through only - Only available for bookings staying through the date range, no arrivals or departures.

Length of stay controls:

  • Min A_LOS - Minimum length of stay based on the date of arrival.

  • Max A_LOS - Maximum length of stay based on the date of arrival.

  • Min S_LOS - Minimum length of stay based on the total length of the stay.

  • Max S_LOS - Maximum length of stay based on the total length of the stay.

Advance booking controls:

  • Lead time - Advance purchase - Minimum number of days prior to arrival offer is available to book.

  • Max lead time - Book Within - Maximum number of days prior to arrival offer is available to book

Pattern-based controls:

  • FPLOS Close - Length of stay availability closure based on a 14 day pattern of arrival.

  • FPLOS Close to arrival - Length of stay arrival closure based on a 14 day pattern of arrival.

  • FPLOS Close to departure - Length of stay departure closure based on a 14 day pattern of arrival.

📌Note: For restriction types Min A_LOS, Max A_LOS, Min S_LOS, Max S_LOS, and lead time, an extra days field will appear under the drop-down menu. Enter the number of days as they apply to the restriction and proceed with selecting the room type and checking the weekly pattern.

Channel distribution

Restrictions are applied automatically to the CRS and channels that call the CRS for availability including the GDS, Distribution API, CRS Booking Engine, Voice Application and other connected systems.

⚠️Important: Some restrictions are not accepted by various channels or extranets. Check your channel-specific documentation to understand which restrictions apply to each distribution partner and consider alternative approaches for channels that don't support important restriction types.
