Combine rate codes with add-ons to create compelling package offers for your booking engine and voice application.

Add a new package

Packages in the CRS allow you to bundle rate codes with add-ons to sell together through your booking engine and voice application. This functionality helps you present specific offers to guests while maintaining accurate pricing when add-ons require different tax treatments. You can configure packages with flexible pricing options, channel distribution controls and customized marketing content.

Follow the steps below to add a new package.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Click Create New tab.

  4. Enter package code used for interface communication.

  5. Enter package name within the 256 character limit, no HTML allowed.

  6. Enter package description HTML allowed for booking engine display.

  7. Enter rate code for package days from the dropdown to set the package pricing baseline.

  8. Enter package length as a minimum stay considering the included add-ons for appropriate stay duration.

  9. Enter sorting order.

  10. Set date ranges:

    1. Begin date.

    2. End date.

    3. Begin sell date this is optional.

    4. Begin sell time this is optional.

    5. End sell date this is optional.

    6. End sell time this is optional.

  11. Enable Package Strike-through.

    • Check if package price should display with strike-through value based on another rate code.

  12. Select reference rate code for strike-through display this should be higher value than package to show savings.

  13. Include Add-ons Cost:

    1. Check to add the add-on configured pricing to room rate.

    2. Leave unchecked if room rate already includes add-on costs and the add-on configured pricing will be ignored.

    ⚠️Important: For add-ons with the pricing added to the room rate, the booking engine shows as an average nightly rate throughout booking engine, with detailed nightly breakdown appearing in cart. Unless otherwise configured, add-on prices are applied to the first night of the stay to ensure all costs are covered.

  14. If enabled in the CRM, Allow Pay by Points check to allow loyalty program redemption.

  15. Check Restrict Package for Access Code.

    1. Check to require access code for booking.

  16. Click Create New.

Assign access codes to packages (optional)

Follow the steps below to assign access codes to packages.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Access Control tab.

  4. Enter full or partial access code and click Search to find relevant codes.

  5. Check Enabled for desired access codes to apply to this package.

  6. Click Save.

Set up multi-language content for packages

Follow the steps below to set up multi-language content for packages.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Multi-Language tab.

  4. Select the language from the dropdown.

  5. Enter the translated package name within the 256 character limit.

  6. Enter translated package description.

  7. Click Save.

Upload new images for a package

Follow the steps below to learn how to upload a new image for a package.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Multimedia tab.

  4. Select your preferred upload method:

    1. Click Upload New Image button to upload from your computer.

      1. Click Choose File.

      2. Select the file from your computer.

      3. Click Open.

    2. Click Use Existing Image button and select from images already uploaded in Multimedia section for your chain.

      1. Click Select to choose your image and return to the screen.

  5. Enter the title of your image video.

  6. Enter SEO/Alt Text for screen readers and accessibility requirements.

  7. Enter sorting number to control display order

  8. Click Upload.

Configure rate and policy settings for a package

follow the steps below to configure rate and policy settings for a package.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Rate tab.

  4. Select rate code for package days from dropdown.

    • This would be prepopulated from creating the package but may also be configured or changed on this tab.

  5. Choose policies from the dropdowns to apply to the package if they should be different from the hotel default:

    • Tax for room stay.

    • Cancellation policy.

    • Guarantee policy.

    • Travel agent commissionable option.

  6. Click Save.

Add package inclusions

Follow the steps below to add package inclusions.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Inclusions tab.

  4. Choose the add-on Item from the drop down to include in the package.

  5. Enter sorting order for it to display if multiple add-ons are in the package.

  6. Click Insert New to save.

⚠️Important: Add-ons with inventory limits are checked during availability searches. Package booking depends on add-on availability.

Set channel control for a package

Follow the steps below to set channel control for a package.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Channel Control tab.

  4. Check boxes for relevant channels to sell the package:

    • Booking engine (IBE).

    • In house call center.

    • API (if enabled).

  5. Click Save.

Configure package specific emails if different than the default

Follow the steps below to configure package specific emails if different than the default.

  1. Go to Group/Package/Add-ons.

  2. Go to Packages.

  3. Go to Email tab.

  4. Select reservation status.

    • Reservation confirmation.

    • Reservation modification.

    • Reservation cancellation.

    • Pre-stay email.

    • Post-stay email.

  5. Select language (if multiple enabled).

  6. Uncheck Using Default Package Email Setup.

    • Or leave checked for the hotel default templates to be used for confirmations.

  7. Select email type.

    • Confirmation, modification, cancellation, pre stay and post stay.

  8. Choose Language.

  9. Select from email from approved addresses in drop down.

  10. Enter reply to email addresses.

    • Separate with semicolons.

  11. Enter subject line, the default prepopulates for convenience.

  12. Enter BCC email addresses for internal notifications (optional).

  13. Modify Email Body or click Load Default to restart.

  14. Click Save, Cancel, or Preview.

Package pricing and display information

Multiple combinations of functionality may be leveraged to control the display of packages, add-ons and pricing in the booking engine.

Strike-through functionality

Outlined below are the different strike-through functionality.

  • Package strike-through disabled.

    • No strike-through displays even if rate has strike-through enabled.

  • Package strike-through enabled with none.

    • Uses property-level reference rate as no package was chosen to calculate the strikethrough.

  • Package strike-through with specific rate.

    • Uses selected rate for strike-through.

Add-on cost integration

Outlined below are the different add-on cost integration options.

  • Include add-ons cost unchecked.

    • Only room rate charges; add-ons shown as part of the package but no additional costs applied.

  • Include add-ons cost checked.

    • Add-on prices added to nightly rate or first night unless configured otherwise. Average pricing displayed in booking engine with detailed breakdown in cart.

  • Adding the per item add-on pricing to the first night protects against early departure revenue loss. If these costs were averaged across multiple nights and guests departed early after receiving services, revenue recovery becomes difficult.

Tax considerations

When add-on costs are included on top of the room rate and taxed, total add-on tax displays as separate line in pricing breakdown. To avoid this tax line, configure add-ons without taxes and adjust pricing accordingly.

Package functionality varies by PMS

Consult your PMS documentation for specific setup requirements. You may need to configure packages in both systems or establish business practices for proper data flow.
